
The Activity and Feedback Manager oversees the review, validation, and authorization of instructor session reports, ensuring accurate billing, instructor payment, and compliance with quality standards. This role ensures that session records are complete, instructor evaluations are properly processed, and all sessions meet contractual and pedagogical requirements. The manager plays a key role in enforcing reporting standards, identifying performance trends, and communicating with instructors to maintain compliance.
Key Responsibilities & System Capabilities
- Session Report Management & Compliance Enforcement
- Review and approve instructor session reports for completeness, accuracy, and compliance with contractual obligations. Ensure Instructors enforce session joining protocols and system features for accurate Student attendance tracking and reporting to the client.
- Ensure session reports are submitted on time, following up with instructors as needed.
- Identify missing or incomplete reports and take corrective action before finalizing billing and instructor payments.
- Authorization of Instructor Payments & Client Billing
- Finalize session reports to authorize client billing and instructor compensation.
- Ensure contract terms are met before approving payments and invoices.
- Prevent billing discrepancies by validating session data against LMS attendance records.
- Monthly Billing Authorization by Students
- Monitor the automated timesheet collection features in the system, ensuring Instructors with first-line responsibility for collection, Pedagogical Advisors, and finance staff are aware of and utilize the system capabilities to smooth billing.
- Instructor and Pedagogical Advisor Oversight & Communication
- Monitor instructor compliance with reporting standards and session submission deadlines.
- Provide direct feedback to instructors regarding report quality and missing details. Utilize the built-in resubmission requirement feature to obtain complete reports.
- Communicate evaluation results and compliance issues, ensuring instructors and Pedagogical Advisors meet performance expectations.
- Student & Instructor Evaluations
- Manage instructor evaluations submitted by students, identifying trends and areas for improvement. Report issues to senior management. Ensure students are notified of corrective actions.
- Utilize AI-powered tools to analyze student feedback and highlight performance issues.
- Generate performance reports for management review, tracking instructor effectiveness over time.
- Quality Assurance & Continuous Improvement
- Ensure session reports align with training objectives and client expectations.
- Identify patterns of late or incorrect reporting and work with instructors to improve compliance.
